Email scheduler, PDF export, and a transition to the new Google Analytics interface

Tuesday, November 01, 2011 | 3:55 PM

Labels: ,

Two of the most requested features from the old version of Google Analytics that have been absent in the new interface are report email scheduling and PDF export.  We are happy to announce that both email scheduling and PDF export functionality will be the new interface in a few weeks.

Because there are significant differences between reports in the new and old versions of Google Analytics, we would like to use this opportunity to solicit your feedback regarding which scheduled email reports should be preserved in the new version. We suspect that many of you would like to use this opportunity to “reset” the number and types of scheduled Google Analytics emails. As we roll out the new email system in the coming few weeks, we encourage you to examine your existing scheduled emails and make a personal decision on whether to recreate a similar scheduled email report.

Every standard and custom report will have an email scheduling option, shown below in the report options bar:

Clicking on the “EMAIL” button pulls up the following email scheduling dialog:

(A more detailed blog post about the emailer and its new functionality will be available when the it is released in a few weeks.) The above email preview shows the work we have put into improving the email report setup over the older Analytics interface.

PDF export for every report will also be available within a few weeks.

With the upcoming release of both the new emailer & PDF download, we want to give you three months notice (as of today) that the old Google Analytics interface as well as all existing scheduled emails will be sunset starting in January 2012. We believe that the new Google Analytics interface provides significant advantages over the old version, including access to Real Time Analytics, Multi-Channel Funnels, Social Plugin Analytics, & Flow Visualization. And hope you'll find enough value in these new features that you'll switch to the new version well before then.

We welcome your feedback and comments.

Thank you!

Before you shut off the old version though please also add back the comparison %s, add export feature of dashboards, and add the ability to set up a dashboard on another user's account.

thanks

What about the day/week/month date frequency selection in all standard reports? That still doesn't work in FF in the new interface - so all my reports still show every day's individual data (instead of summarizing by week)

The PDF export of the dashboard and the supporting detail reports are needed. A utility to convert those old dashboards to new would be great.

Will there be XML support?

I agree with Stephen above. When you switch your graph view to daily/weekly/monthly etc, this should be reflected in the exports as it still does in the old version. Please bring back this very useful feature.

seriously, you are sunsetting the old GA? because "We believe that the new Google Analytics interface provides significant advantages over the old version"??? sorry, but are you eating your own dogfood? do you use GA yourself? that is just a joke, ok first of all: link, link and link. is there any reason you do not just link your headlined to the responding reports, instead of just linking the thumbnails? https://img.skitch.com/20111102-cuq4k8x2gtaqnuws1wte8f94yh.png that is just one annoying thing, but the bigger annoyance is: when i compare one timeframe against another timeframe, i want percentages. it doesn't matter if i got 6434 visits ony day, and 4535 the other day, i want to know the difference (%) this is the most basic use case of GA and this is where the new GA fails.

i'm sorry, i'm a big advocate of GA, i introduced GA as a daily business tool to more than 50 companies, but the new GA is just bad. it is full of features, but does not do the simple things in a simple way.

I'll add my request to fix the "Comparison" view of reports in the new GA. I'm a happy user of the new GA, and the new features are outstanding. That I cannot, though, pull up the pageview report, for instance, switch to "Comparison" view, and see the percentage increase/decrease that a page has had relative to the two selected time periods is still a far-reaching, disappointing aspect of the new GA.

I can only imagine how long the list of requests and fixes is for the new GA, Phil, but I hope you all have not forgotten about this --- or, that you can at least explain why you believe the current "Comparison" view in the new GA is better and good-enough as-is?

Thanks for making a great tool!

I'd like the old reports and scheduled to be transferred to the new version so that at least you can work with them as a base.

I'd also LOVE to see the ability to set up a master report style. In the majority of cases, we set up the same custom report for all our clients. Only having to do this once would be much less time consuming.

Also allowing the master account holder to dictate the default dashboard view for all users would be SUPER handy. I have 3 or 4 of my staff use their own Google Account login and they all have different dashboards. I'd love to have this mastered at my level as the top level admin. Or even for the changes they make to flood across all accounts if they are set to Super User/Administrator or the like.

The PDF and email feature is VITAL though and is the ONLY reason I haven't been prepared to switch to the new version to date.

Yes, to sharing dashboards. Also, I need to be able to share Advanced segments, currently you can only edit no delete or share. And Filtering needs "lesser than or equal" to & "greater than or equal to" instead of only the 3 choices individually. you can't switch the and in filtering so you have to run everything twice.

Please add in the functionality to view today's data in the new version of Analytics. We have real time but we need to be able to select and view today's data in all reports in GA - just as in the old version.

Hi Phil,
I really missed the PDF export and e-mail scheduling in the new interface. I gave a comment on it too. So thank you very much for giving these features!
I also agree to the fact that we need % views on the data when we compare two time periods. So pls look into that feature as well.
And also not been able to export the graphic data (daily, weekly or monthly) is also really frustrating as it give additional work to us.

Keep up the good work!

Hi Phil,

Great news you are adding the PDF and Email. I am a little concerned as I think some are that you are sunsetting the old version of GA, when there are still a number of bugs. One that I have seen and reported in the forums, is in custom reports, when you click the little link box, you get a domain that is not your own. I have been able to replicate as well. Is this an issue that will be fixed soon?

Jason @ Exceed Online NZ said...

Another vote for dashboard export as pdf and email dashboard PDF reports. This is more useful than ever now that there are multiple/custom dashboard options.

Also, when scheduling emailed reports it would be IDEAL to be able to also select the date range covered.

So, for example, I'd like to send weekly reports that show the previous month's data/graph on a rolling basis. This allows clients to see it in a wider data context.

Sending weekly reports that show only the previous week's data is not very useful. However, sending weekly reports that show the previous 30/60/90 days of data (on a rolling basis) WOULD be very useful and could be an option when scheduling the emailed reports.

Thanks again.

Can you add option to have reports from different accounts/profiles in a single e-mail/export/view? Even better to be able to compare them. Like a super-dashboard. (Good for passively monitoring multiple accounts.)

The new format strikes me as much more complicated to learn. I have only been using GA for about a month. Therefore, I think my opinion is not clouded by a bias toward "leaving things as they are," which most people would have.

The additional functionality is great, but the old dashboard is much easier for me to use as a jumping-off point.

It would be great if custom reports that are setup in scheduled emails would display the name of the report rather than 'custom report'. Trying to update a single custom report that is being sent via email can be very confusing when all the reports attached to an email carry the name 'custom report'.

My biggest concern about this transition is an error I consistently get between the old and new versions. If I am on the old version tracking notifications say all is well. In the new, tracking says it is not installed even though it is functioning.

The code looks exactly the same so is there some unseen difference where we are going to have to install new tracking code when you force us over? I hope I get a response to this.

I'd like to see the return of:

1. Decent formatting when you compare dates, take a look at organic search comparing one month to the next on the old version and the new version - the new version is formatted very badly and it doesn't have an easy to identify % change.

2. The $Index - this was awesome, why can't we get that back?

That's it for now.

Really miss the accounts overview page in the old analytics. The overview page showed multiple accounts and their change over the last month. This was very useful for those managing many accounts. Please add to the new version. The new version's listing of accounts is really ridiculous. Takes several clicks just to get to one. It's a major step back in usability.

Austin said...

It'll be great to finally get these two export features. But GA 5 has a long way to come before it's ready to completely replace the old version. For example, export as CSV for Excel puts the date and value in the same cell, whereas standard CSV puts it in two separate cells (which it should do). This is just one of the many bugs I've encountered that has forced me back to the old version for a bit. Google definitely has their work cut out for them if they think they're phasing out the current version in three months.

Theis Brouer-Jensen said...

It would be very nice with dashboards/reports that can be applied to many websites via a checklist. And there should also be a function, so it's possible to make 40 timed reports at the same time for instance for 40 profiles.

Hugh Gage said...

Sunsetting the old version would be extremely bad news and would cause far more work than it would save. The new version does not show period on period variance, its incredible that you're concentrating on other minor features when you haven't got the data output sorted yet on the new version. There are still bugs that show grossly misleading data (which your engineers know about) in the performance charting view of the new version when using advanced segments and worst of all export to csv in almost all reports still does not output trended data by day week or year meaning that to create a reporting template in excel over a 12 month or 52 week period will take hours - see comment above from Stephan's Blog.... For your own sakes, don't sunset the old version before you've read and addressed the issues mentioned in these comments.

David Whitehouse said...

Still not got this two weeks on.

balpert said...

How can you sunset the old version while the CSV exporting function is still all-but-useless? Terrible news. I depend on clean exports to Excel to create dashboards for a major institution, and the way they barely/don't function now is unacceptable. And I read above that $Index is gone? Another terrible blunder -- that is one of GA's most valuable features! This is really, really bad stuff, and shows you're more interested in serving-up glitz than actually helping the customers you so desperately court.

Monty Ma said...

Regarding export in CSV, the New Version has at least 2 shortcomings:

1. Many CSV reports do NOT show day by day numbers. For example, the Old Version's exported CSV file shows day by day numbers for Content > Pages > Custom Page, while the New Version shows only an aggregated number for the time period.

2. New Version's exported CSV file shows dates with the newest day at the top and the oldest date at the bottom, versus the other way around in the Old Version.

While the New Version made tremendous improvements, I do NOT think it's a wise decision to sunset the Old Version so soon. Please reconsider your decision.

Alex Zorach said...

I cannot express how much I dislike the new interface. I have filed a long list of feedback reports about the new interface and I really hope Google takes action on them.

My biggest complaint about the new interface is that actions take far more clicks than under the old one. For example, changing between views of day, week, and month was one click (buttons) in the old one. It is now a drop-down requiring two clicks. Or changing between different websites/profiles was two clicks (a simple drop-down) in the old version, but now it requires four clicks as you need to drop down a big box and then open multiple things within the box. Furthermore, the box is more complex. Even the side navigation things to view say, traffic sources -> search traffic -> something more specific in that now takes more clicks.

This is really poor, in my opinion.

There are also bugs and glitches in the interface that are more appropriate for an alpha-level test than beta. I see text running off the right side of the screen. Furthermore, when google takes a "screenshot" it mysteriously doesn't capture the error, it only shows on my browser but not in the error report.

I also find that the search help box does nothing when I click "Go".

The whole thing is terrible. Just, outright terrible. It is not ready for beta and I think you're doing a huge disservice to your users by using them for essentially what is testing an alpha-level product when they didn't opt in or consent to such a test.

I recommend you to roll back to a smaller, localized test, like an alpha, work out these issues, and then come back to users like me. I don't want to alpha test your product. Beta test, that's fine, I'll give you sparse feedback here and there but I don't want to waste all my morning trying to figure out how to use a new product that I don't need or don't want when the old one worked just fine.

I have one major concern:

In the old version I could see a summary of all my analytics accounts when I logged in. I could easily see if there was a significant visitor boost in one of the accounts.

In the new version, the basic stats are no longer shown on the first page. There are only the account names. Do I really have to click on the accounts now to quickly see their recent stats?

I absolutely agree with so many other users here, esp. Alex Zorach, that the new Analytics is not ready to replace the old. The email notification I just received states "the old version will only be available until early next year" - considering the extreme shortcomings of the new GA this is terrible news for my company.

We evaluate our clients' site performance extensively based on GA reporting and have at least 25 different sites set up for monthly reports based on standardized dashboards that have been created. PDF export is essential to this, so it's good to hear that this feature is being added, but even my initial attempt to recreate dashboards for a single client is proving fruitless.

I'm an advanced user (IQ Certified) and migrating all of our clients' dashboard reports will take nearly a week (40 solid hours) to implement. This is not a problem, as I'm sure once it's all moved over, the improvements will be worth the time investment to upgrade. HOWEVER, it will be crucial for my company to be able to successfully recreate the reports we've been providing for years before being forced to switch, and at this point we cannot even come close.

I don't feel I need to reiterate the list of shortcomings - as I see them posted everywhere (and Alex hit all the high points right on the head).

The bottom line is: this is NOT ready for beta, and absolutely not ready to kick all of your loyal Pro users off the trusted "old" version (esp those who have who have built a business around GA reporting for their clients). I am in no way one of those who "fear change" - I embrace it, and look forward to switching over to the new version - once it has actually BUILT upon the successes of the previous GA, instead of trying to replace them.

Bender said...

Yes indeed: tracking PDF downloads should be an automatic feature or at least a simple action in Google Analytics.

23/11/2011 I've just been notified by a client that they have received an email from GA saying that "Your Google Analytics account is being updated". So, Google is going ahead with this plan to sunset the old version early next year.
I've not added to this blog before now but feel I have to add my weight to the calls to G to delay this until the issues regarding suspect data and missing standard features are resolved. I would ask all other blog readers to do the same - to show Google the amount of concern there is out here. It would also be very helpful if someone from Google could make a response on this blog. Please help us here - there are a lot of people very, very worried about what is happening.

Zineb said...

I'm worried too!

The single most important feature of GA, for me, is the ability to see Visits, Bounce Rate, and % Change --- for all my sites, all on one overview page.

Is there a way to do this with the new GA? If yes, does anyone know how? If the answer is no, then I'll switch to another analytics service.

Mel @ Panoptic said...

I am also very upset with the missing PDF export feature. I maintain reports for over 75 client accounts, and each of them expects their monthly report, in PDF format, with all the data from their Dashboards. Now with the new GA there's no way to get the same kind of report -- including all the data from the individual reports shown on the Dashboard? Am I going to have to export eight different reports to give them the same data I used to be able to generate by exporting the Dashboard? Suck-o. I'm in a real bind.

URLinator said...

I agree 'Innovation', I too haven't added to this blog before, although I have used GA for several years now for all sites I build/maintain. The people I report to like the PDFs, I can't give them CSVs as that's too much to ask of people who just want to boot up a reader and maybe also print the thing out.
There is only a month left until 2012, and I see no PDF export (I don't use the email function)... I would dearly love to use it for the new dashboards and visitor flow - I'd be OK waiting for it, just as long as I can still use the Old Version until it's ready for release. I like your product Google, can you delay the sunset?

In the post, you asked for feedback from users: I would concur with those who feel the new GA is not ready.

The additional features that make complicated data mining possible also now make simple queries very difficult. A rocket ship is fine, but sometimes all one needs is a row boat. Maybe add a basic area with a collection of the familiar features described by others here.

Just saw the new version for the first time today when I logged in.

Your all accounts screen needs work. The old interface where I can see an overview of the traffic to all my sites on one page is much better than the new "clean" interface. I know Google has a "whitespace is key" thing going right now, but easy access to data is more important than a pretty page.

I'm also disappointed that you've "Lotus Notesed" Analytics. Everything is now an extra click or two away. Why do I have to click on an item to expose an item beneath it to THEN be able to click on that to see the data I want to see?

Some of the new features and advanced reports seem like great additions. It's just the basic UX that needs some work in my mind.

Thanks for a great product!

There was some logical operators: as $ (finishing with), | (or), ^ (beginning with), ? (replacing any character)....but they don't seem to be available anymore.

Exemple: I want page containing ( /promotion/ or /campaign/ )
and
( page not ending with .html )

It's not possible with the NEW version to do the OR operation.....

Help please!

Note: I also remarked that working with the calendar is damn slow.....it's not as fast the OLD version was... cause you cannot hold the arrow and get the rolling effect to get faster thru the calendar (month).... you have to hit the arrow as many time as you want to get back in time.........Please fix that too!

Please do NOT retire the old version until after the new version can export the data broken down into the selected time range, such as by week, by day, or by month.

Currently, when you export a 2011 monthly report like Direct Traffic, the old version provides month by month numbers for 2011 in the e.g. csv file, but the new version does NOT. All that the new version provides is a lump sum of numbers for all of 2011, rather than month to month, which isn't useful at all.

Please implement this capacity for the new version first before you sunset the old version. Thanks.

It doesn't look good for Google that there is a long string of complaints here, and they are legitimate criticisms, and yet Google has failed to come out and address them publicly.

I would recommend for Google to at least post some replies or engage in dialogue with users. A small amount of energy put into good communication and good customer service can go a long way towards establishing customer loyalty.

Is Google just developing products behind closed doors and forcing them on users without regard to whether or not they're actually an improvement? Or are they responding to the feedback and it's just a matter of time before these issues are addressed?

An update to this post/new post with additional info as to timing and dates would be much appreciated! :)

Do you have a date yet for when you will be restoring the PDF facility for analytics reports?

Gerhard Peters said...

This blog post was is from November the 1st (2 months ago) and still no email option. When is it coming?

Arrrrg!
So disappointed that e-mail reporting in pdf no longer works in old version and is not ready in the new version. Please fix asap or advise. Thank You.

Yeah following weeks.. reminds me the Google+ for Apps users, again :) At least the new live stats is amazing!

Do you have a release date for report email scheduling and PDF export? These functions are keeping us from committing to the new interface.

favo said...

are there any news regarding the PDF export? I checked every week and have not seen the export option?

Projects said...

As per other comments, the PDF reporting feature is late. Again do you have an ETA ? If not, perhaps a Blog update on the new timeframe. Like others we can't commit to the New Version as default until the PDF reporting is enabled. Also we are holding up scheduled reports until PDF enabled in GA v5. Please please either release or post an update so we can make an informed choice.

Why Google thinks its thinking is better than users?
What is a Standard Reporting and why it opens first and how do I change it to show my dashboard as a default (first)?
Why webdesigners need to build their dashboards for all, sometimes hundreds domains from scratch back again in the new version?
Where is on the left hand side in the menu 'keywords' report? It's not there for standard reporting.
Why the nice list of domains from the old version was replaced by old fashioned scruffy list of links?
So what if you introduced cool live tracking and joined with webmaster tools if at the same time you made it oh so messy and user unfriendly, not intuitive at all and enforcing your ways of using GA. I just want my one dashboard that I can customize!

the new google analytics is a textvook example of second system syndrome, instead of re-creating the strengths of the old system you create something well .... a bunch of new features that do not convince and kill the good stuff the old GA .... :(

Still waiting these changes to happen. Is there somewhere more information about the status? Would like to use new version but pdf.. you all know.

We need PDF-export, Google. Please hurry up!

Rob Taylor said...

Maybe PDF exports aren't that important for the majority of users but did Google really need to start defaulting to the new version before they rolled out this feature?

Now if I need to jump back to the old version just to prepare a report for a client that doesn't involve a trip into LibreOffice calc.

C'mon!

If all the features aren't rolled out yet then please default to the old version until they are.

K? Thanks. Bye.

I could not figure out how to change the weekly email reports Ive been getting, so I did a blog post of how I had to work around it. If anyone knows how to do it in the new system, Id love to hear. http://www.blackbeardesign.com/how-to-change-or-remove-google-analytics-weekly-email/

I'm still waiting too, this is pretty huge not to have...

When the email feature is coming?!?

Still no PDF reports. Please bring them back. Yesterday.

I couldn't agree more with Monty Ma and many more who had the same issue. Having the day by day info in a download is a VERY important feature.
When comparing 2 segments you can see them in the graph, but you can't get any comparison by day or week. The only way to do that would be through a download to csv, and getting the data day by day. Currently this in only available in the old version

Matt said...

How much longer do we have to wait for these promises? Still don't understand how you can strip away the most valuable parts of the old version. Just like Apple and their failure with Final Cut X.

Looking forward to this being added, will be great to have this functionality in the new Analytics as it is sorely missed!

I would like to see it be possible to choose your date range for the scheduled report. The weekly one is based on a Monday - Sunday date range, which is different to what we work on and consequently I have to just compile the daily sends.

Thank you Google! Really looking forward to the Export capabilities! Like the new interface, although it required a bit of searching in the beginning!

Please provide an status update on automated email reports from Google Analytics. This original post was dated November 1st, 2011. That was 12 weeks ago. Any update you can provide would be greatly appreciated. Thanks.

It really is important to Google's credibility as a customer-focused organisation to respond in some way to these posts. Although some of them are a bit blunt, the current expectation is that the old version GA will cease to exist by 31 January (less than two weeks from now) and the new version still lacks essential features like email and PDF export.

Harmelijn said...

It is now january 23rd. Still no email or PDF export.
I think a communication update is in order.

tjk said...

Still not implemented - soo looking forward!

Joseph said...

Either it was implemented somewhere different than the pictures in the post or 'a few weeks' at the Googleplex is a little different than 'a few weeks' on Earthplex.

Craig Gingell said...

Please do not stop supporting the XML export function. XML is the future. CSV is the past. Can we not have both?

Kinetic said...

This was posted 13 weeks ago. Please update "a few weeks" with something more concrete. Google also advises that the "Old Version" will sunset. That leaves us all in limbo.

SoapBox said...

Thanks for listening and bringing PDF back

Can we also have benchmarking back. Visitor number is great but showing a visual comparison to the sector average was the best way to show clients in niche markets how their site is performing. It is also extremely useful in determining seasonal trends.

It's extremely disappointing that Phil Mui and his team have not even so much as posted to this blog to reset expectations. Schedule delays happen, priorities shift, people change direction. I get it. But please, would you at least let us know a new date as to when you believe this critical feature will be released? "A few weeks" has now become a punch line rather than the meat of a promise from this team. Let's get back on track and commit to making it happen!!

SGS Webmaster said...

Any update regarding the export to PDF feature? It is February 2nd, 2012 (well past the "couple of weeks"), and we have seen no word on this.

Thank you.

Will Spencer said...

Ok call me crazy but it's over two months since this was posted and I don't see the 'Email' button anywhere? Am I missing something? This is such an important feature, along with the PDF format.

And why wouldn't this blog put the date next to each post here?

Aaron said...

February 7. 2012: Still no scheduled PDF reports. "A few weeks" is now over 3 months. Please add now. This is a critical feature and threatens to make all your other work on "New Analytics" useless for many folks. I'm sure that's not what you intended. Thanks.

Carl Conrad said...

Just adding my voice, I can't wait to have the PDF export..

DM said...

Feb. 8th and I still don't see the PDF or email options. I like the new interface for the most part but keep having to switch to the old version to access the email reports. The owners/CEOs of the web sites I manage really want the emailed PDFs and keep requesting new reports via email. Please add these features ASAP. Thanks!

אשת טורס said...

WHEN WILL YOU FINALLY PUT THE EMAIL SCHEDULING BACK? IT'S BEEN 3 MONTHS.

Matt Mandich said...

A few weeks... over 3 months... and update would be appreciated, and would go with the Google way and all #justsaying

WooNation said...

This posting is from November 1st .... we still cannot email reports and schedule the exports. Is there a release scheduled for this? It is really key for a lot of us out there.

Thanks

Owen Jones said...

So its now February 2012 and I don't see and email option???

Keith said...

Hey Phil
2/14/12 and do not see an option to export/ email and now the option to modify the behavior from legacy UI is not exposed any longer. Is there any update.

thanks Keith

2/21/12 - still no email or pdf export ability in the new Analytics? What's going on?

Michael Regina said...

So..any idea when this is going to happen?

surfista said...

New interface is here but still no email or PDF export :(

Roflo said...

Mar 2nd 2012..
Yesterday I noticed some UI changes.

So I rushed to see if email+pdf was ready in the new Analytics...
... but no.

Not yet.

Very odd if you ask me. Google usually takes around 1 week to roll out changes to all users.

This post was 4 months ago..!
... we can only wonder.

I tried desperatly today to find out how to email a drilled down report on a specific page to a designated person. I thought I found this last week. But either it is missing again or I really can not find it for usability reasons. Please help make emailing a scheduling emailing of reports easier in the new interface.
